Privacy Policy

Last updated 1 January 2026

This policy follows you step by step through the moments you meet SilverPineway — from the first time you open the site to the day we delete your details. SilverPineway, of 2-18-9 Matsugaya, Taito-ku, Tokyo 111-0036, is the controller of the information described here.

01

When you first open the site

The moment your browser loads a SilverPineway page, our servers record a small amount of technical information: your IP address, the type of device and browser you use, and the page you asked for. We rely on our legitimate interest in keeping the site secure and working to collect this, and it is held only as long as our server logs are retained.

02

When cookies are placed on your device

Essential cookies are set as soon as the site loads so that it functions. Analytics and marketing cookies are placed only after you agree through our cookie banner, which is your consent under the applicable data protection law. You can withdraw that consent at any time from the cookie settings control in the footer. Our separate Cookies page lists each cookie in detail.

03

When you browse the trails and sessions

As you move through pages describing our walks, analytics tools — only if you have consented — note which routes and sessions you view and how long you stay. This tells us which trails people care about so we can plan more of them. The data is aggregated and we do not use it to identify you personally.

04

When you write to us

If you email us, call us, or send a message through a contact form, we receive your name, your contact details, and whatever you choose to tell us. We use this to answer you and to keep a record of the conversation. Our basis is our legitimate interest in responding to enquiries, and where your message concerns a booking, the steps needed to enter into a contract with you.

05

When you book a walk

Booking a session means we collect your name, contact details, the date and route you chose, and any health or mobility notes you share so a guide can keep you safe. Payment is handled by our payment provider; we never see or store your full card number. We process this information to perform the contract of guiding you, and health notes are handled only with your explicit consent.

06

When we rely on others to help

We share information only with partners who help us run the service: our booking platform, our payment provider, our email host, and our analytics tool. Each is bound by contract to use the data only on our instructions. We do not sell your information to anyone, and we disclose it to authorities only where the law requires us to.

07

When data travels outside the country

Some of our providers store data on servers outside Japan. When that happens we make sure the transfer is covered by appropriate safeguards, such as standard contractual clauses, so your information keeps the same protection wherever it is held.

08

When the walkers are children

Our walks welcome families, but bookings for anyone under eighteen must be made by a parent or guardian, who provides any details about the child. We do not knowingly collect information directly from children. If you believe a child has sent us data without a guardian's involvement, contact us and we will remove it.

09

How we keep your information safe

We protect your data with access controls, encryption in transit, and staff who are trained to handle it carefully. Only the people who need your details to serve you can reach them. No system is perfect, but we review our measures regularly and act quickly if anything goes wrong.

10

The rights you can exercise at any time

You may ask us for a copy of your data, ask us to correct or delete it, object to certain uses, or ask us to limit how we process it. Where we rely on your consent you can withdraw it without affecting what came before. To use any of these rights, simply contact us using the details below and we will respond within the time the law allows.

11

When this policy changes

If we update how we handle your data, we will post the revised policy here with a new date at the top. Significant changes will be flagged on the site so you are not caught unaware.

12

Afterwards: keeping and deleting

We keep booking and enquiry records only as long as we need them — typically for the period required by tax and accounting rules, after which they are securely deleted. Server logs are rotated regularly. Health notes are erased once your walk is complete and no longer needed for your safety. When data has served its purpose, it goes.

13
